Internal Quality Assurance Cell (IQAC) of Faculty of Engineering, General Sir John Kotelawala Defence University has a mandate to create a culture that seeks to continually improve the quality of the academic and other activities of the Faculty.

  • Terms of Reference
  • 1.Purpose

    Internal Quality Assurance Cell (IQAC) of the Faculty of Engineering, General Sir John Kotelawala Defence University has a mandate to create a culture that seeks to continually improve the quality of the academic and other activities of the faculty.

     

    2. Composition of IQAC and Meetings

    The composition of IQAC shall be,

    3. Dean, Faculty of Engineering (Ex Officio)
    4. Deputy Chairpersons
    5. Convener
    6. Chairperson(s) of Academic and Research Development Committee (ARDC) 
    7. Chairperson(s) of Student Support and Welfare Committee (SSWC)
    8. Chairperson(s) of Resource and Infrastructure Development Committee (RIDC)
    9. Heads of Departments or Nominee
    10. Programme Coordinators
    11. Member - Dr. SDR Perera
    12. Member - Mr. NS Rathnayake
    13. Member - Mr. KG Samarawickrama

    2.1 Special Invitation

    Any other relevant person(s) may be invited to attend a specific session as required.

    2.2 Appointment of Members

    The Chairperson(s) and Convener shall be appointed by Dean and approved by the Faculty Board. Other members of IQAC shall be appointed by the Dean FOE. Communication to IQAC will come through the relevant Head of Department or chairpersons of other committees/ Boards.

    2.3 Terms of Office

    Terms of office for the IQAC members shall be two (02)years. If a person is replaced, the remaining period of the predecessor is considered as the office term of the successor.

    2.4 Meetings

    At least eight (08) meetings shall be conducted for a calendar year.

    2.5 Quorum

    The quorum shall be at least 50% of the membership.

    2.6 Meeting Minutes

    The Convener of IQAC shall record the proceedings of each meeting and on approval of the Chairperson, will circulate unconfirmed minutes to IQAC members. The committee will be asked to check the minutes by circulatory resolution. The minutes will be confirmed at the subsequent IQAC meeting and submitted to the Faculty Board for approval.

     

    3. Responsibilities and Duties

    3.1 Internal Quality Assurance Cell of Faculty of Engineering

    a) Student Feedback

    • Monitor student feedback is effectively utilized for quality enhancement 

    b) Academic Student Counselling

    • Monitor student counseling services are provided as required. 

    c) Faculty Examinations

    • Monitor the faculty examinations are conducted according to the faculty and University guidelines.

    d) Peer Review

    • Monitor the implementation of peer observation for quality enhancement.

    e) Programme Outcomes and Curriculum Development

    • Review and give recommendations for course learning outcomes (LOs), programme learning outcomes (POs) and programme educational objectives (PEOs) so that they are well defined.
    • Ensure that new/revised degree programmes meet the standards for internal quality assurance, accreditation requirements and industry standards.
    • Recommend curriculum revisions through the Academic and Research Development Committee.
    • Guide the faculty for UGC, CQA, and accreditation reviews, and implementing their recommendations.

    f) Faculty Development

    • Identify needs and facilitate the development of quality assurance related templates, manuals, SOPs, and guidelines. 
    • Ensure that the templates, manuals, SOPs, and guidelines developed by other committees of the faculty are in accordance with the Quality Cell.
    • Apply quality policies from the KDU Center for Quality Assurance (CQA).
    • Identify professional development programs related to quality assurance and propose them to the Faculty Board.
    • Use focus groups to gather insights on specific learning aspects.
    • Identify good practices and share them with all departments.
    • Promote a culture of quality assurance within the faculty.

    g) Faculty self-evaluation

    • Conduct regular faculty self-evaluation to identify strengths, weaknesses, opportunities and areas for improvement.
    • Submit annual quality assurance reports to the Faculty Board.

    h) External Reviews

    • Follow up the feedback received from the external reviewers are accommodated. 

    i) Affiliated institutions of KDU

    • Provide recommendations for quality related matters of affiliated institutions of KDU upon request of the relevant faculty committee.

    j) Collaboration with CQA

    • Provide requested information to the CQA to support efficient operations.
    • Work with the CQA to enhance academic programs and services.

     

    3.2 Chairperson(s) of IQAC

    1. Liaise with the Director, CQA of KDU to coordinate faculty level quality assurance activities.
    2. Liaise with the Heads of Departments and Chairpersons of other boards to coordinate quality assurance activities of the faculty.
    3. Organize IQAC meetings of the Engineering Faculty.
    4. Chair IQAC meetings efficiently, encouraging contributions of all committee members and seeking consensus when making decisions.
    5. Assure that the activities of the committee are conducted in compliance with relevant policies and guidelines of the University and within regulatory requirements of relevant professional bodies.
    6. Monitor the collation and analysis of Faculty quality assurance data.
    7. Work with other related boards and units within the faculty on matters related to quality assurance.
    8. Report on the activities of the IQAC to the Faculty Board.

     

    3.3 Convener

    1. Giving notice of the meetings, preferably at least one week in advance.
    2. Preparing the agenda, in consultation with the Chairperson(s), and circulating it to the members.
    3. Convene the IQAC committee meetings.
    4. Record the proceedings of IQAC meetings.
    5. Writing the minutes so that they are deemed an accurate record of what was discussed and decided at the meeting.
    6. Circulate IQAC meeting minutes and relevant documents to the members.
    7. Prepare board papers on decisions made at the IQAC meeting, in consultation with the Chairperson(s), and send them to the Secretary of Faculty Board.
    8. Bear the responsibility of keeping records of the minutes, board papers and other important documents related to the IQAC. 

     

    4. Amendments to the Terms of Reference

    Any amendments to the Terms of Reference (ToR) of the IQAC will be approved by the Faculty Board. The current ToR is in effect from 05th February 2025 as approved by the Faculty Board.
